Refund and Cancellation Policy

This Refund and Cancellation Policy ("Policy") outlines the terms under which subscriptions to the 4sch school management system (the "Service") may be cancelled and whether fees are refundable. This Policy forms part of the contractual agreement between 4sch Software as a Service Venture ("4sch", "we", "us", or "our") and subscribing schools ("School", "you", or "your").

By subscribing to or using the Service, you acknowledge and agree to this Policy.


1. General Policy Statement

4sch provides access to a cloud-based software service that becomes available immediately upon subscription activation. As such, all payments are generally non-refundable, except as expressly stated in this Policy or where required by applicable law.


2. Free Trials and Demonstrations

2.1 4sch may, at its discretion, offer free trials or demonstrations of the Service.

2.2 Free trials are provided strictly on an "as is" basis and may be limited in duration or functionality.

2.3 No charges apply during a free trial period unless the School elects to convert to a paid subscription.


3. Subscription Cancellation by School

3.1 4sch offers subscriptions on either a prepaid or postpaid basis, as specified at the time of subscription or invoicing.

3.2 Prepaid Subscriptions:

  • Prepaid subscriptions require full payment before activation.

  • If a School cancels payment during checkout or payment fails, the pending subscription is automatically cancelled and no access to the Service is granted.

  • Once a prepaid subscription is successfully activated, it remains active until the end of its subscription term and cannot be cancelled mid-cycle.

3.3 Postpaid Subscriptions:

  • Postpaid subscriptions allow access to the Service during the billing period, with invoices generated at the end of the applicable cycle.

  • Cancellation of a postpaid subscription does not waive the School’s obligation to pay for services already provided.

  • Where a postpaid subscription ends early due to an immediate plan change, a final bill may be generated for usage up to the termination date.

3.4 Upcoming Subscriptions and Auto-Renewal:

  • Schools may cancel upcoming or future subscription cycles or disable automatic renewal prior to the start of the next billing period.

  • Cancelling an upcoming subscription prevents the next cycle from starting but does not affect the current active subscription.

3.5 Effect of Cancellation:

  • Cancellation shall take effect at the end of the current billing cycle unless the School initiates a new subscription with immediate effect.

  • No refunds or credits shall be issued for partial subscription periods, unused features, downgrades during an active billing cycle, or early termination initiated by the School.


4. Non-Payment and Suspension

4.1 Failure to pay applicable fees when due may result in suspension or termination of access to the Service.

4.2 Suspension or termination due to non-payment does not entitle the School to any refund.


5. Termination by 4sch

4sch may terminate or suspend a subscription:

  • For material breach of applicable terms;

  • For misuse of the Service;

  • To comply with legal or regulatory obligations;

  • For prolonged non-payment.

Where termination is initiated by 4sch for reasons other than the School’s breach or legal compliance, 4sch may, at its discretion, issue a prorated refund or service credit.


6. Exceptional Refunds

6.1 Refunds may be considered only in exceptional circumstances, including:

  • Duplicate payments;

  • Verified billing errors caused solely by 4sch.

6.2 All refund requests must be submitted in writing within 7 days of the relevant transaction.

6.3 Approved refunds shall be processed using the original payment method where feasible.


7. Plan Changes and Upgrades

7.1 Subscription upgrades may take effect immediately and may result in prorated charges.

7.2 Downgrades typically take effect at the next billing cycle.

7.3 No refunds are issued for plan changes unless explicitly stated.


8. Data Access After Cancellation

8.1 Upon cancellation or termination, the School may request access to its data for a limited period, subject to technical feasibility and applicable law.

8.2 After the data retention period expires, 4sch may permanently delete the data.


9. Statutory Rights

Nothing in this Policy limits any non-excludable rights the School may have under applicable Nigerian law or other mandatory consumer protection laws.


10. Policy Updates

4sch reserves the right to modify this Policy at any time. Updates will be communicated through the Service or website.

Continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
